Petrol Station ERP · Daily operations

Close and reconcile a petrol station shift

Follow the same sequence for every shift. Station-specific fields and report names can vary by deployment.

Updated

  1. Confirm the shift and station context

Verify the station, shift, assigned attendants and opening tank or meter records before entering closing information.

  2. Record closing operational readings

Enter or verify closing meter readings and required tank dips. Confirm any deliveries, price changes or approved operational exceptions in the shift period.

  3. Confirm sales and payment totals

Review fuel and supported shop sales, then compare cash, M-Pesa, card, bank and credit totals where configured with the actual settlement evidence.

  4. Investigate variance

Check timing, nozzle context, delivery posting, readings and payment allocation. Do not edit figures simply to force a zero variance.

  5. Complete the supervisor handover

Record the approved explanation for material differences and hand over unresolved items with their source references.

Before you finish

  • All readings belong to the same shift boundary.
  • Deliveries and price changes are in the correct period.
  • Payment methods were reviewed separately.
  • Variance explanations and approvals are preserved.
